PERSONAL ASSITANT

General presentation

 

The general management encompasses several professions : legal, insurance, staff, human resources, archives.


Missions

(place in the hierarchical structure, main tasks, interdepartmental relations, responsibilities,…)

Assists the Managing Director in all tasks of organization, secretariat, communication. Depending on the company's organization, she may be entrusted with specific missions and special files. The organizational part of her tasks – among the more traditional secretarial activities which are perfectly mastered – has been particularly strengthened. In agreement with her immediate superior, she organizes :

  • the latter's agenda based on requests put in to him and which she deems relevant
  • meetings (agenda, invitation, getting rooms sorted out…)
  • external and internal events
  • her superiors' travelling
    Internal and external communication, Her role as the interface between the General Management, the company and the latter's internal and external environment require a very good level of familiarity with the company and its high-level external partners.
  • The relational aspect,
    She maintains with her aides and the other departments and services, relations that are conducive to exchanges and a good general atmosphere. She is capable of checking the work of secretaries and other people (car drivers, errand boys…) and appraise their performances and behaviours.

Depending upon her experience, competence and manners and behaviour, she is her colleagues' reference in this profession.


Profile
 

( Requested knowledge, expected skills, education, …)

Required qualifications : BTS(1) in secretarial studies or equivalence with relevant professional experience sanctioned by a positive appreciation.
Expected knowledge : Excellent practice of bureautics and methods of communication (telephone, fax, Internet, lotus notes), fluency or working knowledge of English, or any other language, general managerial skills.
Requested personal abilities : organization, method, interrelational and drafting skills, autonomy, initiative, natural authority, tactful.
Requested behaviour : discretion, punctuality, availability, self-control, presentation and couteousness.
